Order Submission:
To help ensure timely processing, please email your purchase order and artwork together to purchase@snugzusa.com.

Production time and inventory allocation begin only after we receive all of the following:

  • A complete purchase order
  • Usable artwork
  • Proof approval (if applicable)

SnugZ USA only accepts orders from promotional product distributors who can provide a valid resale certificate and an active ASI or PPAI affiliate number.

Order Submission Deadline: All required materials must be submitted by 12:00 PM EST to count toward that business day. Missing or incomplete information may delay your ship date.

Order Acknowledgements: You will receive an order acknowledgment once your order is entered. Please review it carefully for accuracy. If you do not receive an acknowledgment within 24 hours, contact Customer Service.

Content Policy
SnugZ reserves the right to decline any order at our sole discretion. We will not produce artwork containing:

  • Obscene or vulgar language
  • Nudity or sexual innuendos
  • Phallic symbols or offensive imagery



Setup Charges

See individual items for setup charge. Setup is per product/imprint/location for most decorations.  Screen Print & Pad Print Setup is per product/imprint/location/color. If order consists of multiple scents, flavors or colors, a minimum of First Column Quantity per SKU, per variation will apply. 

Repeat Setup

Please reference your previous purchase order number when placing a repeat order. Repeat orders are eligible for a setup charge at 50% of the original setup fee, provided there are no changes to the artwork, artwork colors, or product.

Important:
Any changes to the artwork, color(s), or product will result in a new setup charge at full price, as the order will no longer qualify as a repeat.

 


 

Color Matching

Please refer to the individual product listings for availability on color matching services.

The most effective and universal method for communicating color expectations is by providing coated PMS® (Pantone Matching System) values. When supplied, these values allow us to reference the PANTONE® Solid Coated color book to ensure greater color consistency.


 

Variable Data / Personalization Printing

Variable data printing is available only on select items & decorations, specifically in the following product categories, and decoration types, for an additional charge:

  • ID Badges
  • Chisel-It decoration
  • Spectrum decoration
  • Laser Engraving decoration
  • Heat Transfer decoration
  • Embroidery decoration

To utilize this service, variable data must be submitted using the official SnugZ spreadsheet template. Please contact Customer Service to request current pricing and the required template.

Exclusions apply: Not all items within these decoration methods qualify for variable data printing. Please contact Customer Service to confirm availability for each specific item.

Variable Data / Personalization Submission & Formatting Guidelines

The formatting instructions provided in the template must be followed exactly.

The completed spreadsheet must be correctly formatted to be accepted by our production software.

Orders with incorrectly formatted variable data will be placed on hold until all issues are resolved.

If assistance is needed, SnugZ offers a data formatting correction service for a fee of: $50.00(V) per 250 lines of variable data.

 


 

Artwork

Artwork Submission Guidelines

How to submit art: purchase@snugzusa.com.

Please avoid submitting artwork separate from purchase orders.  Please submit PO & Artwork together, when possible, to avoid processing delays.

Art File Guidelines: To ensure the highest quality decoration and avoid production delays, please follow these artwork submission requirements:

  • Submit artwork as vector files (e.g., .AI, .EPS, or .PDF)
  • Convert all text to curves/outlines before submitting
  • Set document color mode to CMYK
  • If specific colors are required, call out all colors as PANTONE® PMS® values

Alternate File Formats (Non-Vector) – Full Color Decoration Process Only

If vector artwork is unavailable for decoration methods with full color printing process, we may accept high-resolution non-vector files, including:

  • GIFs, JPEGs, TIFFs
  • Must be at least 600 DPI resolution

Important: Non-vector files may result in poor print quality. If clarity is insufficient, our team may contact you to request a vector version or a higher-resolution file


Preferred File Formats AI

Adobe® Illustrator®, EPS – Encapsulated Post Script and PDF – Portable Document Format - Adobe PDF. NOTE: Artwork created in another program and saved as another file extension does not guarantee acceptable artwork. (i.e. a jpeg saved in Illustrator as an .ai file does not make it a vector file.)

Acceptable File Formats TIFF, JPEG, GIF, PSD

Photoshop Document or Camera-Ready Art (see below). NOTE: Formats above will not always be acceptable depending on the product ordered and the quality of the file.

Trademarks

All logos, copy and other materials submitted by customers for our use in producing items ordered will be accepted as fully compliant with all applicable laws regarding trademark, service mark, copyright, right of privacy, patent, or similar protection.

 


 

Paper Proofs

Paper proofs are waived unless requested on the PO. Up to three email proofs are free per order (including repeats); additional proofs are $10.00(z) each. If a proof is requested, allow up to 2 business days to receive it after order acknowledgment. Production begins only after email approval. Distributors are responsible for prompt proof approval, delays may affect ship dates.

Art Cleanup & Re-creation

Complimentary artwork touch-up or re-creation is offered when edits can be completed within 15 minutes. For more complex work requiring additional time, a fee of $35.00(V) per hour will apply. Customers will be notified of any charges beforehand, and no work will begin without prior approval.  Allow 2 business days for art re-creation.

Camera-Ready Art:
Final print quality is directly impacted by the quality of the artwork provided. Camera-ready art submitted in hard copy form may incur an artwork fee of $35.00(V) per hour if additional preparation is needed.

 


 

Samples

RANDOM SAMPLE POLICY: Random Samples are provided at no charge for items with an EQP value of $8.33(C) or less. Items over that value will incur the website EQP per piece price, plus shipping. Shipper number preferred. If a shipper number is not provided, freight charges will be invoiced. Max of 3 samples per SKU, per PO. Blank Samples can be offered upon request.  Not all products are available to be provided as a blank sample. Purchase orders requesting “samples” will receive a random sample, unless otherwise specified.

 BLANK SAMPLES: Only Available upon request for select items.  Limitations apply.  Contact customer service for pricing and availability. SnugZ primarily offers random samples as standard sample offering

PRE-PRODUCTION SAMPLES (PPS):  A Pre-Production samples (PPS) is a decorated sample, placed with the full order, for the purpose of approval before full order production$25.00(v) domestic / $100(v) import / $90(v) HYOU line, plus published price plus and freight for catalog quantity orders. Must be requested on purchase order.

SPEC SAMPLE: Spec Sample is a decorated sample produced before full order is placed. Setup Charge + Per Unit Price + Shipping. Please provide a shipper number for freight. Production Time: 5-7 business days. Please allow 7-10 business days for debossed items.

 


 

Credit Approval and Terms

All orders are subject to credit approval. Upon approval, we extend 30 days net credit up to your established credit limit. Payment methods accepted are: ACH, Check, American Express, Discover, Visa, Master Card, Cashier’s Checks, and Business Checks from a credible establishment. Orders above $3,000.00 credit limit may require a deposit or prepayment. Prepayment is due before your order is started into production. NOTE: Orders with credit card payment are authorized for 10% over the order total to account for changes and freight. After the order is shipped the credit card will be charged for the final order amount.

 


 

Over / Under Runs

SnugZ does not guarantee all orders will ship in exact order quantities.   Orders are subject to ship with up to 5% under or 5% over the quantity ordered. We will make every effort to ship exact quantities. We reserve the right to ship and invoice 5% under the quantity ordered.  If overrun is requested on purchase order, per unit price, split ship fee & freight costs incurred.

 


 

Order Revisions / Cancellations:

SnugZ USA accepts order changes and cancellations, when possible, subject to the following exceptions. Because of short lead times, any revisions may impact the scheduled ship date. Requests made within 48 hours of the order’s scheduled ship date cannot be guaranteed, and changes requested on the ship date itself will not be accepted. Additionally, product revisions or cancellations may result in charges to cover any work completed or materials purchased, even if the change occurs before proof approval. For all orders valued at $5,000 or more, a 50% cancellation fee will apply if the order is canceled more than five business days after it was originally placed.

 


 

Returns: SnugZ does not accept returns of Blank or Decorated products.

 


 

LTM (Less Than Minimum) Orders

Only select items are eligible to be sold at LTM order quantities, for a Charge.  LTM charges apply to blank and decorated products. Please contact customer service or use website web chat to confirm items eligibility.  Items that are eligible for LTM quantities will have an absolute minimum of half of the website’s first column quantity.

LTM CHARGE - ITEMS WITH ONLY ONE IMPRINT LOCATION $62.50 (V) per product color, per imprint color, per art layout.  Charge applies to Blank & Decorated products order below 1st column qty’s.

LTM CHARGE - ITEMS & GIFTSETS WITH MULTIPLE IMPRINT LOCATIONS: $90.00 (V) per product color, per imprint color, per art layout.  Charge applies to Blank & Decorated products order below 1st column qty’s.

 


 

Blank Orders:

Contact Customer Service for Blank pricing.  LTM (less than minimum) Rules & Charges Apply.   Items with Dye Sublimated decoration are not available blank.

Blank orders for products that include ingredient decks or product labeling requirements must ship with all required product information clearly labeled on the product. In these cases, decoration areas will remain blank and feature a white background, displaying only the legally required product information markings.

 


 

Empty Containers – Personal Care, Mints, Candles, Essential Oils: SnugZ does not sell empty containers.

 


 

Shipping & Handling

SnugZ USA FOB varies by item. Please refer to the individual product details for specific FOB information.

Purchase Order Ship Method Selections: SnugZ USA selects the shipping method needed to meet the in-hands date listed on the customer’s purchase order, unless the PO states the date is flexible. If expedited shipping is required, SnugZ will notify the customer via email. To opt out of expedited ship method, the customer must reply to the SnugZ email notification, stipulating preferred method. Without written confirmation, the expedited method will be used, and SnugZ will not reimburse any related charges.

Early Shipments: All orders are subject to ship earlier than the scheduled ship date. If delivery must occur within a strict window, the request “Do Not Ship Early” must be clearly stated on the purchase order to help prevent delivery rejections.

Approved Carriers: SnugZ USA ships all products from the facility in which they are manufactured, using approved carriers including UPS, FedEx and LTL freight providers.

DHL Carrier: SnugZ does not have a daily pick-up with DHL.  Select FOB points can have DHL scheduled, when customers provide shipping labels.  Charges may apply.  Contact customer service for availability and pricing.  

USPS Carrier: SnugZ does not have a daily pick-up with USPS. Select FOB points can have USPS scheduled for additional fees, using SnugZ USPS account only. USPS Shipper #’s are Not Accepted.  Contact customer service for availability and pricing. 

Freight Billing: Shipping costs and accessorial charges will be added to the customer’s invoice at published rates unless a valid customer carrier account number is provided. Please note that all UPS third-party shipping accounts may be subject to additional surcharges imposed directly by UPS.

COD (Cash on Delivery) Shipments: Are Not Available.

Handling charges Handling charges may apply to all orders, including those shipped using a customer-supplied carrier account number. Large volume orders may be quoted and shipped via LTL freight trucking company upon request, and it is the customer’s responsibility to request trucking quotes for other quantities.

LTL/FTL Freight Pallet Fees: $25.00(V) per pallet charge will be applied to orders using LTL/FTL  shipping carriers.

Drop Shipping: All drop ship addresses must be submitted using the official SnugZ template. A charge of $7.00(V) to $15.00(V) per additional address will apply after the first, with rates varying by FOB. Contact customer service for charge by item.  If SnugZ is required to revise or create the split ship template for orders with more than 5 addresses, a fee of $75.00(V) per hour will be incurred.

Custom Box Qty’s: Requests for custom product qty’s per box will incur additional fees for time and material. Contact customer service for pricing.

International Shipping Fee

All orders shipping to international addresses outside of the USA, will incur a $31.25(V) charge, per order. One fee is charged per order, regardless of how many international addresses are provided. The fee covers SnugZ USA preparing all necessary international documents, not otherwise required for USA delivery addresses. All required documents will be generated by SnugZ USA shipping department. International documents prepared by customer will not be accepted. Fee is incurred for orders that ship on 3rd party account and for orders where freight costs are billed to invoice.

NOTE: Not all items are available for international shipping. Please reference the individual item policies section for details.

Canada International Addresses Only – USA FOB’s: SnugZ USA can ship to Canadian addresses without a customer-provided carrier account number and bill customer invoice for freight costs; however, product exclusions apply. Shipments to all other international destinations must be shipped using a customer-provided account number, which will be charged for all freight, duties, taxes, and brokerage fees. Some international shipments require additional details, including a valid carrier account number, the name and address of the account holder, receiver’s full contact information, and the declared value of the shipment. Please contact us for more information. SnugZ USA is not responsible for customs delays.

Lost Packages

SnugZ USA is not responsible for any packages once they have left our facility. To protect your shipment against loss or damage, please contact Customer Service to request and add the appropriate insurance coverage to your order.

Warm Weather Shipping

Due to the melting point of candles (wax begins softening around 120°F), it is suggested to ship all candle orders via overnight method with morning delivery during warm weather. Friday ship dates are also not suggested to avoid candle orders being stored in a truck or warehouse without temperature control over multiple days. SnugZ cannot guarantee, even with overnight shipping, that candles will not melt or soften during transit. All candle orders shipping during warm weather months are at the risk of the customer.  

 


 

Assembly Exclusions

Lanyards and Vinyl Pouches: Vinyl pouches do not ship assembled with lanyards in order to prevent bending or warping during transit. To maintain their shape and quality, vinyl pouches are best shipped bulk packed. Assembly available for additional lead time & cost. Contact customer service for details.

Lanyards and ID Badges: ID Badges & Lanyards Do Not Ship Assembled as they are produced at different facilities. Assembly available for additional lead time & cost. Contact customer service for details.

Gift Sets: Most Giftsets Ship Assembled, with some Exceptions.  Review individual item web pages or contact customer service for exclusions.

 


 

Sales Kits and Flyers: Sales Kits and Flyers can be provided. Contact dedicated territory sales rep or customer service for current offerings.

 


 

Self-Promotion Discounts: Promotional Product Distributors Customers may place "Self-Promotion" order with their company logo and receive 20% off the EQP price with a first column minimum, per order, for products shipped from USA FOB points, exclusions apply. Setup and Re-setup charges apply.  Standard production times apply, rush production not available. Contact customer service product exclusions.

 


 

Catalogs

SnugZ does not offer printed catalogs of the full product line.  Seasonable look-books or catalogs may be available.  Contact customer service for availability.

 


 

Testing and Compliance

SnugZ USA strives to ensure all of our products have been tested and meet all compliance requirements. Documentation is available upon request.on many of the product pages or can be requested by emailing compliance@snugzua.com. All product labeling is compliant with FDA standards (if applicable) at the time of printing.

 


 

Display & Tradeshow Limited Warranty

SnugZ warrants all display hardware and stands against defects in materials and workmanship when properly assembled and used for one year.

Warranty Exclusions

This warranty does not apply if the product or any other equipment upon which the product:

(a) has been altered by the users or any unauthorized party.

(b) has not been installed, operated, repaired, or maintained in accordance with setup instructions and/or functionality.

(c) has been subject to abnormal physical misuse, negligence and/or accident.

(d) is for testing or demonstration purposes for which the functionality of the product was not intended for.

(e) defects are caused by force majeure (lightning, floods, war, etc.), soiling, by extraordinary

environmental influences or by other circumstances related.

Logos shown on catalog products are for illustrative purposes only and do not imply an endorsement. Products manufactured and distributed by SnugZ USA unless specifically noted ARE NOT designed or intended primarily for use by children 12 years of age or younger. Fulfillment Exceptions

Items SnugZ USA cannot fulfill include but are not limited to: ammunition, bank bills, notes or currency, corpses, cremated or disinterred remains, fireworks, hazardous waste, ivory, marijuana (including marijuana intended for medicinal use), postage stamps, shark fins, watches exceeding the value of $500 USD, alcoholic beverages, animal products, non-domesticated (e.g., mother of pearl inlay, snakeskin watch bands), dangerous goods, electronic cigarettes, firearms and weapons, furs, gold or other precious metals, live animals, perishables (except for prepackaged and labeled food products with a one year shelf life), plants, seeds, tobacco, frozen food, medical devices.
